Our client is a growing Australian business that provides essential safety services to commercial clients across Melbourne’s South East.
They are seeking a reliable Virtual Assistant to join their small, friendly team. This role is perfect for an experienced admin support professional who enjoys variety, works independently, and has a strong attention to detail.
Job Responsibilities:
Admin & Operations Support
- Prepare and process client invoices using Xero
- Schedule and manage client appointments using Formitize
- Organise files and reports in OneDrive
Client & Financial Admin
- Send client invoices and reports via email
- Follow up on outstanding payments and track quotes
- Enter bills, receipts, and monitor contractors
Marketing & Content Support
- Update Google My Business (GMB) and social media accounts
- Create written or visual content (using Canva or other tools – optional)
- Assist with tracking franchise enquiries (non-sales role)
Requirements
- 3–5 years of experience in admin, PA, or back-office support roles
- Proficient in Microsoft Excel or Google Sheets
- Strong written English and professional communication
- Highly organised, detail-focused, and able to work independently
- Familiarity with Xero (preferred but not essential)
- Familiarity with Formitize or similar job management systems (training provided)
- Basic social media or marketing experience is a bonus
- Open to learning and feedback
- Friendly, diligent, and proactive
- Reliable with a strong sense of accountability
