Executive Assistant

TLDR

Support executives by coordinating complex admin tasks, managing calendars, travel, correspondence, and confidential information in a fast-paced, multi-priority environment.

As an Executive Assistant, the successful candidate will assist the functional organizations by coordinating all administrative activities for one or multiple executives and subsequent staff assuring efficient administrative activities. The successful candidate will routinely coordinate multiple priorities, handle tight deadlines, and address last minute requests and revisions.
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Represents the executive by attending meetings in the executive's absence; speaking for the executive.
Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
Maintains customer confidence and protects operations by keeping information confidential.
Completes projects by assigning work to clerical staff; following up on results.
Prepares reports by collecting and analyzing information.
Secures information by completing data base backups.
Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Contributes to team effort by accomplishing related results as needed.
liaise with internal staff at all levels
review operating practices at work place and suggest improvements to executives where necessary and take approvals from executive members to implement the actions after discussion with executives and functional managers.

supervise, inform if coaching  and training is required for staffs at middle and entry level

Min 5 year of executive administrative experience, with 2 of those recently supporting high level corporate executives.
Bachelor's Degree from a good institute.
Superior Organizational Skills / Detail Oriented, Scheduling, Time Management and Presentation skills.

Strong Written, Analytical & Oral Communication skills
High level skills in Microsoft Office and an ability to learn other software programs quickly
Self-Motivated / Proactive / Ability to work Independently and manage multiple tasks while working on fast paced team.
