Executive Assistant

As an Executive Assistant at SEEK, you'll be part of a fast-paced and supportive environment where you can make a real difference. In this high-trust role sitting at the most senior level of our Technology function, you'll work with little direction to support the Group Executive, Technology, anticipating their needs and looking ahead to prevent problems before others know they even exist.

This role is heavily focused on complex diary and inbox management, coordinating the Technology Leadership Team (TLT) forums end-to-end, booking travel, managing team logistics, and keeping pace with a fast-moving technology environment. You'll work closely with shared PAs across the Technology function, building trust, sharing knowledge, and contributing to a strong team culture.
We operate in a hybrid model. Given the nature of this role, we'd ideally love you in the office four days a week, with flexibility for the remaining day.
Key Responsibilities
- Partner proactively with your Executive and manage their time effectively in a fast-paced, high-volume environment:
- own and drive calendar and complex meeting scheduling across multiple time zones;
- manage inbox access with full discretion, integrity, and sound judgement;
- coordinate end-to-end travel needs, including booking all flights and hotels, visa requirements, directions, commuting times, and ground transportation, with a sharp eye for small details;
- run TLT forums end-to-end: agendas, packs, invites, minute-taking, and actions;
- plan, coordinate, and execute offsites, team events, Hive, Hack, and other initiatives both onsite and offsite;
- process expenses on a timely basis
- Pre-empt the needs of your Executive by understanding broader Technology and business priorities across SEEK
- Engage and build trust across the Technology PA community, developing shared processes, maturing skills and practices, and fostering collaboration, consistency, and a strong team culture
- Support the effective operations of the SEEK Executive team by being a great partner and colleague to EAs supporting other executives across the organisation
- Act as a primary point of contact in your Executive's absence, handling basic queries with professionalism and good judgement
- Handle all confidential and sensitive information with the highest level of integrity
- Liaise with stakeholders across the SEEK Group, including the Executive Leadership Team, senior Technology leaders, and internal enterprise functions
- Provide ad hoc support to other senior team members as required, and coverage for other EAs and PAs across Technology or SEEK from time to time
- Significant experience supporting senior executives in a global or APAC organisation, with extensive diary management, travel coordination, and expense management
- Prior experience supporting executives within a Technology function or technology-led organisation is highly desirable, familiarity with tech leadership rhythms, terminology, and ways of working will set you apart
- Proven ability to thrive in a fast-paced, high-volume environment with competing priorities
- Strong stakeholder management skills, with a proven ability to influence without authority, including the confidence to indirectly guide and uplift the broader PA community across the function
- High emotional intelligence, you read people well, adapt your communication style to your audience and build genuine rapport across all levels of the organisation
- Experience coordinating leadership meetings and events end-to-end, including preparing agendas, presentations, packs, and capturing actions
- Self-motivated and self-sufficient, with the ability to proactively get things done without close supervision
- Strong judgement and decision-making, knows when to consult and when to act
- High level of written and verbal communication skills, with strong interpersonal skills
- Curiosity and enthusiasm for emerging technology, including AI tools, you don't need to be a developer, but you're someone who leans into new ways of working and actively looks to improve how things get done
- Experience mentoring or informally leading other PAs or EAs is highly regarded
- Commitment to professional development, whether through formal study, courses, or self-directed learning is a bonus but not essential
