The Administrative Team provides operational support to enable our locations to run as efficiently and effectively as possible and provide an exceptional experience to our employees and visitors.

As a facilities analyst, you will have the opportunity to make changes and improvements to our processes.

Responsibilities

• Active oversight of various outside contractors and inspect completed work to ensure all expectations are met. (furniture, cleaning, coffee, air conditioning, maintenance services, etc.);
• Control of business-critical/emergency situations and capacity to resolve promptly while ensuring minimum disruption to the business;
• Furniture installation, maintenance, and repairs;
• Coordinate internal reorganizations  and interface with IT;
• Order materials and office supplies;
• Actively administer multiples contracts to continuously enhance service levels while eliminating unnecessary cost and risks;
• Able to manage objectives, projects and/or activities;
• Coordinate events (meetings, training, coffee breaks, hackathons, etc.) from planning to execution; 
• Develop and maintain an ongoing preventative maintenance, and efficient operations process flow;
• Coordinate travel arrangements (book flight tickets and hotels, conference passes, etc.), both domestically and internationally including expense reports.

Desired Skills and Experience

• Bachelor's degree in related field or equivalent experience;
• Three or more years of experience with facility support;
• Excitement for working in a startup environment with high level of ambiguity and change;
• Strong coordination, planning, and communication skills both written and verbal;
• Ability to establish and maintain effective working relationships with facility users, contractors and vendors;
• Solid interpersonal skills with the demonstrated ability to develop and maintain productive relationships at all levels of the organization;
• Ability to plan and anticipate needs and be confident, self-motivated and a self-starter;
• Willingness to be flexible, adapt to changing priorities and work under pressure; 
• Strong sense of responsibility, attention to details and the ability to communicate complex issues in laymen’s terms;
• A strong team player;
• Advanced English desirable.
