Role Overview
The Junior AI Trainer / AI Productivity Assistant is an entry-level, business-facing technology role within the IT / Integrations & Automation department. The role is responsible for supporting internal users in the practical, safe, and effective use of approved AI tools to improve productivity, reduce repetitive work, and enhance day-to-day business outcomes.
The position is suited to a curious, helpful, and technology-minded individual who enjoys working with people, explaining concepts clearly, and identifying opportunities to use AI, automation, and digital tools to improve how work gets done. Over time, the role is intended to develop into a more technical position within integrations, automation, workflow support, reporting, and AI-assisted business process improvement.
Qualifications
- Matric / Grade 12.
- A relevant certificate, diploma, or degree in IT, Business Systems, Data, Business Analysis, or a related field would be advantageous.
Experience
- Entry-level candidates will be considered.
Exposure to one or more of the following would be advantageous:
- AI tools such as ChatGPT, Claude, Microsoft Copilot, or similar platforms
- Microsoft Office / Microsoft 365 tools
- Excel, Power BI, Power Automate, APIs, scripting, databases, or low-code/no-code platforms
- Business process improvement, workflow documentation, or automation support
- Creating training material, user guides, templates, or internal knowledge articles
- Supporting users in a helpdesk, training, systems, or business support environment
The ideal candidate should have a strong interest in AI, automation, technology, productivity improvement, and learning how business systems connect.
Core Responsibilities
AI User Support & Training
- Assist internal users with the practical use of approved AI tools for productivity, research, summarisation, drafting, analysis, and workflow support.
- Provide basic training, guidance, and hands-on support to help users write better prompts and apply AI tools more effectively in their daily work.
- Help users identify appropriate AI use cases while ensuring that AI is used safely, responsibly, and in line with company requirements.
- Create simple guides, prompt examples, templates, FAQs, and internal knowledge articles for common AI-related tasks.
- Support the rollout of AI tools, features, training sessions, and productivity initiatives across the business.
Productivity & Process Improvement
- Work with business users to understand repetitive, manual, or inefficient tasks that may benefit from AI, automation, or improved tooling.
- Document user requirements, current processes, pain points, and improvement opportunities in a clear and structured manner.
- Assist in testing and validating AI-assisted workflows before they are introduced to users.
- Help measure the impact of AI adoption, including time saved, improved work quality, reduced manual effort, and improved user confidence.
- Support practical productivity improvements by helping teams apply AI tools in realistic, business-relevant ways.
Responsible AI & Governance
- Promote the responsible, secure, and appropriate use of AI tools in line with internal policies and best-practice guidelines.
- Help users understand what information should and should not be entered into AI tools, particularly in relation to confidentiality, data privacy, security, and sensitive business information.
- Escalate concerns relating to data privacy, security, accuracy, misuse, or inappropriate AI use to the relevant internal stakeholders.
- Support the maintenance of internal AI usage guidelines, user documentation, and responsible AI guidance material.
- Encourage users to check AI outputs carefully and avoid relying on AI-generated content without appropriate review.
Integrations & Automation Support
- Assist the Integrations and Automation team with basic workflow documentation, process mapping, testing, and user support.
- Learn how business systems connect and how automation tools are used to improve operational efficiency.
- Support simple automation-related tasks under supervision.
- Assist with data mapping, user acceptance testing, process notes, and documentation for automation or integration projects.
- Develop technical skills over time in areas such as APIs, workflow automation, reporting, scripting, data handling, and integration platforms.
Stakeholder Collaboration
- Work with both technical and non-technical users to understand business needs and provide practical support.
- Communicate technical concepts in a simple, clear, and user-friendly way.
- Collaborate with internal teams to support AI adoption, automation initiatives, systems improvements, and productivity projects.
- Escalate complex technical, security, privacy, or business process issues to the appropriate team members.
- Share user feedback and common challenges to help improve AI training, documentation, tool adoption, and internal support processes.
