Office Manager

Located in thriving Austin, Texas, Airship Syndicate was founded by four industry vets formerly of Vigil Games - the house that Darksiders built. Led by visionary comic artist Joe Madureira, we work with a wide group of talented contributors located both in our studio and around the world. Our projects include Battle Chasers: Nightwar, Darksiders Genesis, and the upcoming Ruined King: A League of Legends Story.

Our goal is simple: build a lean, fun, independent game studio to create top-quality games for a variety of gaming platforms.

The Office Admin is as much a people-person as a systems person, integral to cultivating company culture. Often the face of the studio environment, they interact with visitors, clients, and employees at every level, every day. The office admin position requires exceptional organizational skills, efficiency, and a personable attitude. Day-to-day, this person ensures operations run smoothly by doing everything from handling vendor schedules and office maintenance, assisting with company merch ordering and distribution, being the welcome committee, and whatever else it takes to keep the company and its people productive. This role will report to the Director of Finance.

JOB RESPONSIBILITIES:

  • Monitor/Manage office and studio supplies. Work with IT and Director of Finance as required for ordering supplies, furniture, company swag and other office items as required
  • Organize maintenance vendors to keep the office clean and safe while ensuring its appliances are in good working order
  • Manage relationships with vendors and service providers, ensuring that all contracts are current, items are properly invoiced and paid on time
  • Organize company events as needed
  • Implement and maintain office administrative systems as required
  • Organize in-office onboarding of new employees & maintain a positive work environment
  • Responsible for distributing company gifts and swag
  • Ensuring all health and safety policies are up to date
  • Point person for mailing, shipping, and errands
  • Coordinate with IT department on all office and studio equipment
  • Coordinate with HR to maintain office policies and assist with onboarding tasks when needed
  • Coordination with Finance and Facilities as necessary
  • Book transport and accommodations for CEO, President and others as needed
  • Welcome talent, clients, and colleagues to the office upon arrival and during visit
  • Prepare conference rooms for meetings
  • Lend support to the team as/when necessary for other special projects
  • Organize and support company morale activities
  • Misc. admin support

REQUIREMENTS:

  • The ideal candidate has a natural ability to handle a high-growth environment, is flexible, and able to handle anything that might come their way.
  • Strong and reliable support to company operations, maintaining and creating procedures, communication, and safety.
  • Achieve organizational efficiency, and nurture the pleasant work environment our people love.
  • Be an energetic professional who doesn't mind wearing multiple hats.
  • Experienced in handling a wide range of administrative and executive support-related tasks, while working independently with little or no supervision.
  • Well organized and enjoys the administrative challenges of supporting an office of diverse people.
  • Able to handle confidential matters, understanding the various employment laws and regulations.
  • Trustworthy and engaging attitude with the ability to transmit that energy
  • Strong adherence to values of inclusion and diversity in the workplace
  • Proficient in Microsoft Office Suite as well as have a technical aptitude for learning new tools on the job
  • Able to handle competing priorities and deadlines effectively and respond well to last-minute, high-priority, and time-sensitive projects.

EDUCATION AND/OR EXPERIENCE:

  • High School Diploma or GED certificate is required. Bachelor’s Degree in Business or equivalent a plus.
  • 2+ years of previous experience
  • Gaming or startup experience a plus
