Office Manager

Position Summary
The Office Manager provides high-level administrative and operational support to the CEO, CFO and a small team. This role is responsible for providing administrative and operational support, managing schedules, coordinating travel and events, maintaining office supplies, supporting special projects, and ensuring day-to-day administrative operations run smoothly.
The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities while maintaining professionalism and confidentiality.
Essential Duties and Responsibilities
- Manage and coordinate the CEO and CFO’s calendars, meetings, and appointments.
- Schedule internal and external meetings and ensure all necessary materials are prepared.
- Arrange domestic and international travel, including flights, hotels, transportation, and itineraries.
- Order and maintain office supplies and equipment.
- Plan and coordinate company meetings, team events, employee recognition activities, and leadership off sites.
- Manage event logistics including venues, catering, materials, technology needs, and communications.
- Provide administrative support to a small team, including scheduling, document preparation, meeting coordination, light accounting, and follow-up activities.
- Assist with employee onboarding and offboarding logistics and employee recognition programs.
- Serve as the contact for facilities related requests.
- Handle incoming and outgoing mail, shipping requests and other related work.
- Support cross-functional initiatives and departmental projects.
Qualifications
Required
- High school diploma or equivalent.
- 3+ years of administrative, executive assistant, office management, or related experience.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and follow-through.
Physical Requirements
- Ability to sit, stand, and work at a computer for extended periods.
- Ability to occasionally lift and move office supplies and materials up to 25 pounds.
