Operations
TLDR
Manage end-to-end cross-functional workflows across product, finance, people, and customer ops to close work quickly and scale the business.
About Viktor
Viktor is our AI teammate - it lives in Slack and Teams and does real work for companies across finance, ops, marketing, and engineering. We're 20 people across Warsaw and Munich, growing fast after our Series A.
As we scale, operational work is piling up faster than we can absorb it—product coordination, finance, people, customers, country expansion. We're hiring someone to own those workstreams and run them to completion.
The role
You own live operational work across the company and see it through. The mix changes week to week: product ops across Viktor and Jace one morning, a vendor invoice and a customer escalation in the afternoon, entity registration in a new country the next day. You take a brief, come back with a recommendation, and execute.
The areas you'll cover:
Product ops. Non-technical coordination across Viktor and Jace—releases, cross-team threads, keeping product, growth, and engineering in sync.
Financial ops. Vendor onboarding, expenses, invoices, signatures, and filing, working alongside our accounting and legal stack.
People ops. Running hiring end-to-end and handling onboarding logistics so a new hire's first week doesn't need babysitting.
Customer ops. Learning both products properly, then owning the quality and speed of our responses across every channel.
Company ops. Setting up offices, registering entities in new countries, building the internal processes that let us scale past 15, and booking events and offsites end-to-end.
How we'll measure it
This role is about closure, not hours. We'll look at how many threads you're driving, how fast they close, and how clean the handoff is when work leaves your desk. By 30 days you should have a steady set of threads closing every week and a Friday summary going out. By 60, work routes to you rather than around you. By 90, you're the operational backbone and the founders are spending materially more time on product and strategy.
Who we're looking for
A bias to action—you'd rather start and adjust than wait for a perfect brief.
Genuinely organized. You run on systems, not memory.
Comfortable with five threads in a morning and dropping none of them.
Low-ego about the unglamorous work.
Strong written and spoken English; Polish helps. Warsaw-based, in the office five days a week.
No minimum years of experience—we care about evidence that you get things done.
Bonus if you've run ops in a high-growth environment (founder's office, bizops, recruiting, conference ops), built a process someone else later inherited without rebuilding, or helped a company expand into a new country.
How we work
Small team, high trust, low process. Decisions are made by owners, not committees. You will ship your first week. You will talk to users your first day. We don't do alignment meetings or stakeholder syncs. We build things, see if they work, and iterate.
Everyone here owns something real. Not a task. A surface of the company that customers depend on. When it breaks, you fix it. When it wins, everyone knows whose work it was.
We use Viktor to build Viktor. You'll see what you're working on in action every day.
Why Viktor
This is a rare window. The product works. The market is pulling. The team is small enough that what you do next week will be live in production next week. That doesn't last forever. Right now, it's still true.
Compensation
Competitive salary and the kind of ownership that only exists at this stage.
We're in Munich, New York, and Warsaw. Onsite preferred. The best work happens when you're in the room.
Viktor builds an AI coworker that integrates seamlessly into Slack and Microsoft Teams, connecting with thousands of tools to assist companies in finance, marketing, operations, and engineering. By streamlining processes, Viktor aims to replace a significant portion of the SaaS stack with a single, intelligent teammate.
