The Sr Payroll Implementation Specialist is a senior individual contributor responsible for leading Payroll implementation and onboarding work for new and transitioning clients. The role manages the Payroll implementation/onboarding pipeline, coordinates execution across stakeholders, surfaces risks and issues, and provides clear status reporting and recommendations to support successful implementation outcomes. Management-level decisions, final approvals, and partnership-level decisions remain with the VP, Implementation.

This is a hybrid position, with an expectation to report to the Bloomington, MN office 3 days/week (typically Tues/Wed/Thurs).

Essential Job Duties

•    Lead Payroll implementation and onboarding activities from kickoff through transition, coordinating tasks, timelines, dependencies, and stakeholder communication.
•    Manage the Payroll implementation/onboarding pipeline, maintain accurate status visibility, and provide regular reporting on progress, risks, blockers, and recommended next steps.
•    Serve as a senior subject matter resource for Payroll implementation activities, helping resolve day-to-day questions and escalating issues that require management-level decisions.
•    Partner with internal teams and client stakeholders to support clear requirements, readiness, configuration inputs, testing, validation, and adoption during onboarding.
•    Develop and recommend improvements to Payroll implementation playbooks, processes, quality standards, and repeatable onboarding practices; final approval remains with the VP, Implementation.
•    Identify implementation trends, quality concerns, and operational risks, and recommend practical actions to improve consistency, client experience, and successful outcomes.
•    Support collaboration with Salsa and other relevant partners by coordinating implementation inputs, surfacing partnership considerations, and recommending improvements while leaving partnership-level decisions and approvals to leadership.

  • Required Education, Experience, Certifications and Skills

    Required
    •    5-7 years of Payroll implementation, Payroll onboarding, or closely related implementation experience.
    •    Demonstrated ability to lead complex implementation work as a senior individual contributor without direct reports.
    •    Experience managing an implementation/onboarding pipeline, tracking status, identifying risks, and communicating progress to stakeholders and leadership.
    •    Strong knowledge of Payroll implementation workflows, client onboarding needs, issue resolution, and cross-functional coordination.
    •    Ability to develop and recommend process, playbook, and quality-standard improvements while recognizing that final management-level decisions remain with leadership.
    •    Strong written and verbal communication skills, including status reporting, issue escalation, recommendations, and stakeholder follow-through.
    •    Willingness to explore and adopt AI tools responsibly to enhance productivity and innovation in your role.

    Preferred
    •    Bachelor's degree or equivalent combination of education and relevant experience.
    •    Experience supporting Payroll implementation or onboarding in homecare, healthcare, or technology-enabled service environments.
    •    Experience partnering with external vendors or partners during implementation, including coordinating inputs and recommending improvements.
    •    Familiarity with implementation quality measures, testing/validation practices, and scalable onboarding processes.

    The base salary range for this US-based, full-time, and exempt position is $80,000 - $120,000, not including variable compensation. An employee’s exact starting salary will be based on various factors including but not limited to experience, education, training, merit, location, and the ability to exemplify the HHAeXchange core values.
