Position Summary
We are looking for an exceptional Program Manager to fill in one of the key roles in our newly emerging and evolving Enterprise Project Management Office (ePMO) and Centre of Excellence (COE). Our ePMO & COE is going through a transformation to become a modern, new age leader in our industry and become a PMO where innovation meets efficiency. We are looking for experience but more so a special type of personality to fill in this very exciting but critical role. The Program Manager will be part of the PMO Leadership Team (PLT) and will be reporting directly to VP, ePMO & COE. In this role, you will be working collaboratively with the Executive Leadership team with a focus on leading and organizing multiple M&A activities at various stages of the cycle and into one Program. You will be tasked to work directly with various work stream leaders to help them organize and deliver their pieces of the puzzle and consolidate management and reporting into a single program.
Success for this role requires more than executing Project Management best practice, you’ll be working with complex activities and aggressive timelines, so this position requires someone who is highly organized, inquisitive, and self motivated.
Projects will range from managing diligence on M&A prospects to acquisitions and seamless integrations. The common theme for all is delivering excellence for all our internal and external stakeholders.
You will need a deep understanding of project management principles; complete comprehension of time, cost and quality metrics in the PMO world, an acute financial acumen and understanding of ROI, ability to tell meaningful and succinct stories with data and numbers through reports and presentations and last but certainly not the least; a positive and delightful demeanour to further enrich our culture of “playing hard and working hard”.
Roles & Responsibilities:
- The program manager thinks broadly. Responsible for setting the schedule and budget for the program and are responsible for the success of all the projects in that program. Your goal is to support the long-term growth of the business.
- Responsible for creating a program roadmap to represent the planned work across the entire program. You will also tie the program (as well as individual projects) to the company goals.
- Work directly with the Executive leadership team and work stream leaders to ensure smooth execution of the M&A activities across the organization.
- Work directly with leaders to document planned change, analyze dependencies between departments, and consolidate into a single enterprise level change management plan
- Ensure change communication is effective, timely, and repetitive
- Facilitate change governance meetings to ensure it’s effective, issues/risks are raised, and mitigation plans are created.
- Responsible for collaborating with PMO Leadership Team (PLT) to define governance structure and rules of engagement with project teams, internal and external stakeholders.
- Responsible for capacity and resource forecasting and planning based on the data on current projects resource utilization and projects in the pipeline.
- Set up project plans for several projects using project management tool and time tracking tools
- Maintain plans and status against project gates (financial, resources, deliverables, etc.) throughout the life of projects
- Examine project documentation/data for completeness and accuracy
- Support the Procurement team regarding vendor and contractor invoice administration related to projects
Key Skills and Competencies:
- Bachelor’s degree in business administration or related field
- Minimum 7-10 years’ experience as a Program Manager or equivalent and at least 3-5 years experience working with Mergers & Acquisitions (M&A)
- Project Management: experienced in project / program environment; comprehensive knowledge of project/program management methodologies and tools, including Agile and Waterfall.
- Skilled in G Suite (e.g. Sheets, Slides, Docs) and willing to learn additional information systems and or software
- Experience with project management and progress tracking tools (MS Project, Smart Sheets, JIRA/Wiki/Confluence). Experience with other Atlassian family of tools is an asset
- Ability to manage and forecast project budgets, to report on project financials, and to ensure timely and accurate invoicing
- PMP certification an asset, SAFE/Agile experience preferred
- Excellent written and verbal communication skills
- Proven experience managing a cross-functional team.
- Exceptional leadership, time management, facilitation, and organizational skills
