About the Role

We are hiring an Office Manager / EA to keep the company running smoothly day to day. This is a hands-on, detail-oriented role across company operations, employee onboarding, finance coordination, workplace logistics, vendors, events, and internal systems.

You will be the person who makes sure operational details are handled before they become problems. The role is not focused on executive calendar management or personal assistant work. Instead, you will own the practical operating layer of the company: onboarding new employees, keeping office workflows reliable, coordinating with finance and external vendors, supporting team logistics, and building lightweight processes as we scale.

This is a strong fit for someone with around 3 years of experience in startup operations, people operations, workplace operations, finance/admin coordination, or office management who wants broader ownership in a fast-moving SF startup.

 

What You’ll Do

  • Help employee onboarding logistics, including equipment, accounts, workspace setup, first-week coordination, and new hire documentation.
  • Coordinate with finance, accounting, payroll, and benefits partners to keep internal processes organized and on schedule.
  • Support invoice collection, vendor coordination, expense workflows, purchase requests, and basic budget tracking.
  • Manage office operations, including supplies, meals, equipment, facilities requests, access, mail, and vendor relationships.
  • Plan and execute onsite logistics for team meetings, offsites, candidate visits, customer visits, board meetings, and company events.
  • Help improve employee experience by making the office and company rituals feel organized, thoughtful, and reliable.
  • Maintain internal systems and documentation across tools, policies, vendors, onboarding checklists, and recurring processes.

 

What We’re Looking For

  • Around 3+ years of experience in people operations, workplace operations, office management, finance operations, recruiting coordination, or a similar role.
  • Strong organizational instincts and excellent follow-through.
  • High attention to detail, especially around money, people processes, logistics, and deadlines.
  • Comfortable coordinating with external vendors, accountants, lawyers, benefits providers, IT providers, and building management.
  • Clear written and verbal communication.
  • Able to manage many small moving pieces without dropping details.
  • Proactive and practical: you notice what needs to happen and make it happen.
  • Comfortable working onsite in San Francisco.
  • Low ego, high ownership, and good judgment with confidential employee and company information.

 

Nice to Have

  • Experience at a venture-backed startup.
  • Experience with onboarding, benefits administration, payroll coordination, or finance/admin workflows.
  • Familiarity with tools like Rippling, Gusto, Ramp, Brex, Bill.com, QuickBooks, Notion, Slack, Google Workspace, Ashby, or Greenhouse.
  • Experience coordinating office moves, company events, offsites, or recurring team rituals.
  • Basic understanding of HR compliance, employment documentation, vendor contracts, and security/access workflows.

 

What Success Looks Like

In the first 30 days, onboarding, office logistics, vendors, and recurring finance/admin workflows are clearly understood and running reliably.

In the first 60 days, you have taken ownership of core operating checklists, improved documentation, and reduced recurring coordination burden on the team.

In the first 90 days, employees experience smoother onboarding, onsite operations feel organized, finance/vendor workflows are tighter, and the company has clearer systems for day-to-day operations.

 

Compensation

$140,000-$160,000 base salary, plus benefits and potential equity.
