Human Resource & Admin Officer

The Human Resource & Admin Officer will play a pivotal role in supporting Groworx Philippines' workforce and ensuring compliance with local regulations. 
This role owns and manages the entire lifecycle of the human capital function and office 
administration. This end-to-end role ensures seamless operational support, fosters an engaging and high-performing company culture, and guarantees full compliance with Philippine labor laws and occupational standards.

Key Roles and Responsibilities
1. Talent Acquisition & Onboarding
● End-to-End Recruitment: Manage the full talent acquisition lifecycle (job postings, 
sourcing, technical/behavioral screening, background checks, and interviewing).
● Strategic Sourcing: Utilize local job portals (JobStreet, LinkedIn, Indeed) and build 
pipelines for niche or high-turnover roles.
● Immersive Onboarding: Design and execute a seamless onboarding and orientation 
program that introduces company culture, aligns expectations, and complies with 
Department of Labor and Employment (DOLE) standards.
 2. Employee Engagement & Culture 
● Engagement Programs: Plan, budget, and execute company-wide employee 
engagement activities, team-building events, town halls, and holiday celebrations (e.g., 
Year-End parties, sports fests).
● Culture & Communication: Promote a positive, inclusive, and collaborative workplace 
culture. Manage internal communications, company announcements, and feedback 
channels.
● Recognition Frameworks: Implement and manage employee recognition and rewards 
programs (e.g., Employee of the Month, loyalty awards) to boost morale and retention.

Employee Relations & Labor Compliance
● Grievance Handling: Serve as the primary point of contact for employee grievances, 
conflict resolution, and counseling, maintaining strict confidentiality.
● Disciplinary Due Process: Manage the disciplinary process (Notice to Explain, 
administrative hearings, and Notice of Decision) strictly adhering to the twin-notice rule 
under Philippine labor law.
● Policy & Handbook: Draft, update, and enforce the Employee Handbook. Ensure all 
internal rules align with the Philippine Labor Code and modern best practices.
Total Rewards: Payroll, Compensation, and Benefits
● Timekeeping & Leave Management: Manage timekeeping, attendance tracking, and 
various statutory leaves (e.g., Service Incentive Leave, Solo Parent Leave, Magna Carta 
benefits, Maternity/Paternity leave) for payroll readiness.
● Statutory Contributions: Oversee the accurate computation, reporting, and monthly 
remittance of government-mandated benefits (SSS, PhilHealth, and Pag-IBIG).
● Tax Compliance: Partner with finance to handle Bureau of Internal Revenue (BIR) 
employee reporting, including withholding taxes and annualized tax computations (Form 
2316).
● HMO & Incentives: Administer company-specific perks, health insurance (HMO) 
enrollments, and performance incentive payouts.

5. Performance Management, Training & Development
● Appraisal Cycles: Facilitate annual and mid-year performance review cycles. Guide team leads on setting KPIs and implementing Performance Improvement Plans (PIPs).
● Learning & Development: Identify training needs through skills-gap analyses. Coordinateworkshops, external seminars, or e-learning tracks tailored to the local learning culture.

6. Offboarding & Separation Management 
● Separation Processing: Manage the exit process for voluntary resignations, terminations, or retirement, ensuring legal compliance.
● Exit Interviews: Conduct exit interviews, compile feedback trends, and provide actionableinsights to leadership to improve retention.
● Clearance & Final Pay: Coordinate the clearance workflow across departments and 
ensure the timely release of final pay, Certificate of Employment, and BIR Form 2316 within the DOLE-mandated 30-day window.

 7. Office Administration & Facilities Management
● Office Operations: Supervise daily office operations, including procurement of supplies, equipment maintenance, pantry supplies, and vendor management
● Logistics & Travel: Manage corporate travel arrangements, lodging, and logistics for 
leadership or visiting team members.
● Records Management (201 Files): Maintain highly organized, confidential, and secure 
physical and digital 201 files, maintaining data privacy compliance (Data Privacy Act of 
2012).

8. Health, Safety, and Local Governance 
● OSH Compliance: Act as or coordinate with the Safety Officer to implement 
Occupational Safety and Health (OSH) standards, coordinate required first-aid training, 
and maintain a safe workplace.
● Business Licensing: Assist in securing and renewing local government permits, business
licenses, sanitary permits, and barangay clearances.
