HR Admin Officer
TLDR
Coordinate office operations, facilities, procurement, admin, and HR engagement to maintain a polished workplace and smooth onboarding.
- Office Operations & Facilities Management: Maintain a clean, organized, and professional workspace and pantry area (ensuring snacks, tea, and coffee are well-stocked). Conduct regular facility inspections; identify and coordinate the prompt resolution of any technical or maintenance issues. Manage meeting room bookings and provide a warm, professional welcome to incoming clients and partners.
- Procurement, Asset & Vendor Management: Track inventory and proactively plan the purchasing of office supplies and consumables based on department needs. Source, evaluate, and negotiate pricing/terms with vendors (printing services, couriers, cleaning services, building management, etc.). Manage, update, and audit the company’s asset inventory (laptops, monitors, office furniture). Handle the handover and retrieval of equipment for onboarding and offboarding employees.
- Administrative & Finance Support: Receive, organize, and securely store corporate documents, contracts, and incoming/outgoing correspondence. Collect invoices, verify purchasing receipts, and collaborate with the Accounting department to ensure timely vendor payments. Coordinate travel arrangements, including booking flights, hotels, and transportation for business trips.
- HR Admin & Employee Engagement: Prepare workstations, equipment, and welcome kits to ensure a smooth onboarding experience for new hires. Support the HR team with tracking leaves, business travel logs, and coordinating interview schedules when required. Handle logistics, gifts, and event planning for internal engagement activities (monthly birthday parties, company events, workshops, and team building). Execute other ad-hoc tasks as assigned by the Line Manager.
Requirements
- Experience: 1–2 years of experience in Office Admin, Operations, or HR Support roles.
- Skills:
- Good communication in both Vietnamese and English.
- Proficient in MS Office (Excel, Word) and comfortable with digital workspace tools.
- Able to use AI tools to support work and complete tasks easily.
- Basic skills in vendor negotiation, tracking expenses, and inventory management.
- Attributes:
- Highly organized with the ability to multi-task and handle multiple requests from departments.
- Detail-oriented and proactive (good at noticing office issues and solving them early).
